Taking reservations via a VoIP virtual switchboard

This article will inform you how to take a reservation through a virtual switchboard using VoIP

Surely you have made an appointment in a restaurant for example, or in a doctor's office or a hotel, but how exactly do you make a reservation through a virtual switchboard?

Let's see what the difference is between making an appointment via a VoIP virtual switchboard or in the traditional way, I will give you two different examples for this.

Moreover, thanks to this article, this difference is explained from two different points of view: that of the applicant and that of the operator on the other side.

On the side of the applicant

How does it work on the applicant's side?

Of course, as you read earlier, there can be two cases:

The first is that of the traditional hotel that has many rooms and many services without a virtual switchboard, you wait those six or seven minutes on the phone for someone to answer you with music that is not very catchy most of the time or maybe on the first ring the phone is already busy due to the high frequency of calls and, you have to take more time to call the hotel back at another time with the hope that this time someone will answer and be able to give you the attention you were looking for or you might even go directly to another hotel.

The second is that of a hotel that has many rooms and many services with a virtual switchboard service, and this is the big difference. Thanks to this VoIP system, the caller simply hears a recorded voice telling him to dial a number on the keypad, and a few seconds later he is redirected to an operator who is 100 per cent at his disposal, and within minutes every wish is fulfilled.

Looking at both proposals, it is easy to deduce that the second case, that of the virtual switchboard, is the best case.

But why?

On the operator's side

Let's go and see how 'behind the scenes' works

Let's start with the first case; the operator who could be a simple guy has to answer the phone and understand what the person on the other end needs, in some cases he might directly take care of you guests but if not, he will make you wait some time to search the hotel website for the solution or ask questions to someone more experienced or even worse put you on hold until someone competent comes to the phone.

Without doubt, the second case is also the easiest on the part of the operator of a virtual switchboard, who will answer you at any time of day. This is much quicker because the virtual switchboard takes over the call and thanks to a simple step on the part of the caller, i.e. to click a number on the keypad according to the type of call (which allows the virtual switchboard to divide calls into different channels so that they can all be handled in the same time frame by several operators) the switchboard operator will be at your disposal immediately.

Booking techniques via a VoIP virtual switchboard

What are the main booking techniques that save the facility time?

The establishment programmes the virtual switchboard so as to adopt a solution that saves time for both parties through a recorded voice service offered by the VoIP switchboard with the first basic questions; in this case they might ask you for the number of people, the number of nights of your stay, the rooms you need, and then also tell you how many rooms the hotel has available and what type, what kind of service you need

Obviously all this without a hardware cost because the switchboard is in the cloud and therefore uses the Internet, not to mention all that money wasted on telephone contracts with the various telephone companies...

Why a VoIP virtual switchboard? Because as a system it has three watchwords: simplicity, speed and efficiency.
